PART 1: What is Toolbox Tuesday?


Toolbox Tuesday is a 60 minute talk radio style webinar where we either spotlight one of our valued product partners or host a roundtable discussion with sales agents.


The call kicks off with an overview of upcoming sessions during the current month. Participants are reminded that the webinar is recorded and that the recording will be housed on the PayCompass YouTube channel within 24 hours. Participants are encouraged to launch their AI notetakers during the session if they so choose whereas some sales agents prefer to review a written outline vs going back to watch a recording. 


PART 2: Prepping for upcoming Toolbox Tuesday sessions


While it's best practice to schedule guest panelists at least one quarter in advance, there have been times where sessions are booked the previous month. 


Thirty days prior to a scheduled Toolbox Tuesday session, the following preparation takes place: 

  • The host will schedule a Google Meet with the guest panelist(s) to create an outline. During this first meeting, the host will ask the guest panelist (or panelists) to provide their home mailing addresses and shirt sizes. This information is provided to the marketing team so that they can send a PayCompass swag box after the Toolbox Tuesday session has been completed. 
  • Post meeting, the host will create a rough draft outline and send it to the panelist(s).
  • The host will schedule a second Google Meet to review the rough draft and make changes, if required
  • Post meeting, the host will create a final outline and send it to the panelist(s).
  • Depending on the comfort level of the panelist(s), the host may wind up scheduling a third Google Meet which will serve as a dry run prior to hosting the upcoming session. 


PART 3A: The Toolbox Tuesday format with products


The format for each session remains consistent with the following outline:

  • Define the offering while identifying the target audience/merchants/verticals that will benefit from the product/solution
  • Key features and benefits of the product/solution
  • Address the competition for the product/solution being presented and what the product/solution does better than the competition 
  • At 20-25 minute mark, break for live questions while addressing questions in the chat from sales agents to the guest panelist(s)
  • If applicable, a 15-20 minute product/solution demonstration with emphasis on the key differentiators that make the product/solution appealing to business owners. In lieu of a demonstration, these 15-20 minutes are utilized for a continued interview with the guest panelist(s)
  • Remaining 5-10 minutes are set aside for questions to the panelist(s) from sales agents
  • Within 24 hours of the session ending, the recording is posted on the PayCompass YouTube channel


PART 3B: The Toolbox Tuesday format with roundtable discussions


The format for each session remains consistent with the following outline:

  • Define the "Why" behind the session (How did the topic come about? Are their challenges that need to be addressed? Is the topic being brought up repeatedly by sales, thus warranting an education session?) 
  • Present no less than three (3) takeaways being presented to the audience. 
  • Given that questions to the panelist(s) will have already been outlined during the planning sessions, the panelist(s) should be prepared to hit upon all their scripted talking points/takeaways. 
  • At 20-25 minute mark, break for live questions while addressing questions in the chat from sales agents to the guest panelist(s)
  • Once all questions from sales agents have been addressed, the conversation will resume between the host and the panelist(s). 
  • Remaining 5-10 minutes are set aside for questions to the panelist(s) from sales agents
  • Within 24 hours of the session ending, the recording is posted on the PayCompass YouTube channel


PART 4: The workflow prior to Toolbox Tuesday

  • Once the final Toolbox Tuesday for the month has ended, invites for the following month are sent the next day on Wednesday at Noon EST.
  • Invites are created in Google Calendar with the following attendees invited: internal@paycompass.com with the following bcc'd: the guest panelist(s) for the upcoming month, agents@paycompass.com and jvolrath@paycompass.com 
  • Toolbox Tuesday invites must be created individually and correspond with the panelist's scheduled date.
  • The subject line of the invite should be formatted as follows: PayCompass Toolbox Tuesday <TOPIC> <DATE> at 1PM EST.
  • Given that we use the same Zoom credentials for all company calls, the following Zoom credentials below should be added to the invites. NOTE: When generating an invite, Google will always add a Google Meet link by default. Be sure to remove the Google Meet link every single time when creating a TT invite.

PART 5: On the Day of Toolbox Tuesday

  • On the day of Toolbox Tuesday, a reminder email with the above Zoom credentials will be sent by marketing to sales agents and internal staff one hour prior to the session. NOTE: It is the host's responsibility to ensure that the panelists have the invite with credentials prior to the session. 
  • The host will log into the Zoom call 10 minutes before kickoff. 
  • Once logged in, your name will appear as "Marketing PayCompass." If you would prefer that your name appear on the screen, click Participants > find "Marketing PayCompass (Host, me)" in the Participants list > hover over the camera icon until three dots appear > click "Rename" > Enter your name and click the blue "Change" button.
  • You will appear as the Host until someone from Marketing logs in. Once someone from marketing logs in, they will switch you from Host to Co-Host. They will make Justin a Co-Host as well. NOTE: Marketing will take over as Host whereas they are responsible for ensuring that AI notetakers are disabled and calls are not being recorded.
  • If music is going to be played prior to kickoff at 1PM: start the music first > click "Share" at the bottom of the screen > go to the "Advanced" tab in the popup window > click "Computer Audio" > Click "Share" > Rewind your song to the beginning.
