Add a 3rd Party Payment Link to QuickBooks Invoices
QuickBooks Online (QBO)
You’re basically editing the invoice form style and/or the email message so every invoice includes your external payment link.
Get your third‑party payment link
From Stripe, Square, your gateway, etc., copy the URL for the hosted payment page (something like
https://pay.yourprocessor.com/yourbusiness).
Edit the invoice template
Click the gear icon (Settings) in the upper right.
Choose Custom form styles.
Either edit an existing Invoice style or click New style → Invoice.
Add the link to what the customer sees
You have two main places:On the form itself (sometimes shows on the PDF):
Under the Content tab, click the header or footer section where you want instructions.
In the message area, type something like:
Pay online here: https://yourpaymentlink.com
On the email that goes with the invoice (always shows to the customer):
In the same form style window, go to the Emails tab.
Under Message to customer, add something like:
You can pay this invoice securely online at: https://yourpaymentlink.com
Save and use the template
Click Done to save your custom form style.
When creating/sending invoices, choose that style if it’s not already the default.
Tip: If you’re also using QuickBooks Payments, you may want to disable the built‑in “Pay now”/cards option on that template so customers aren’t confused about which link to use.
QuickBooks Desktop (QBDT)
In Desktop, you either add the link to the invoice template itself or to the email template used when sending invoices.
Get your payment page URL from your third‑party processor.
Add it to the email template (common approach)
Go to Edit → Preferences.
Select Send Forms, then the Company Preferences tab.
Under Email Templates, choose Invoices.
Either edit an existing template or click Add Template.
In the Body area, add a line such as:
To pay this invoice online, click here: https://yourpaymentlink.comSave the template and set it as Default if you want it used for all invoices.
(Optional) Add it to the printed/PDF invoice layout
Go to Lists → Templates.
Edit your Invoice template.
Use Layout Designer to add a text field in the footer or a custom message box and type your “Pay online” text with the URL.
Save the template.
Note: The URL will show on the PDF as text; depending on the PDF viewer, it may or may not be clickable, but customers can copy/paste it.
